POLYCHROMIC

Website Privacy Notice

14 October 2026

Controller

POLYCHROMIC, a French single-member simplified joint-stock company (SAS à associé unique), registered with the Paris Trade and Companies Register under number 108 752 171, whose registered office is at 1 rue Marguerin, 75014 Paris, France. You can contact us at contact@polychromic.eu.

What we collect

When you use the contact form, we collect your name, email address, optional company name, enquiry category, subject and message. If you choose to subscribe, we process your email address and subscription records for the newsletter. For a product waitlist, we also record the product you selected, the consent text and version, and the request date. Waitlists and the general newsletter are separate choices. Our form handler processes a pseudonymous security identifier derived from your IP address and timestamps to limit abuse. Its rate-limit file does not retain your raw IP address.

Why and on what basis

We use your contact details and message to receive, review and respond to the enquiry you choose to send us. Our legal basis is our legitimate interest in operating a contact channel and responding to enquiries. If you opt in to the newsletter, we use your email address to send Polychromic news on the basis of your consent. Product waitlist emails about availability and releases also rely on your consent. We process the pseudonymous security data on the basis of our legitimate interest in protecting the website and contact service against abuse.

Recipients and hosting

Your message is delivered to contact@polychromic.eu and may be accessed by people authorised to handle enquiries. We use Sender, operated by UAB Sender.lt, to manage and deliver the newsletter and product waitlist updates. Our server sends the email address you explicitly opt in to Sender’s subscription form; Sender also processes subscription and service records. Newsletter signup is not required to contact us or join a product waitlist. Consent records are stored separately in a private directory on our OVH hosting. OVHcloud provides our website and mailbox infrastructure. We do not use contact-form submissions for advertising audiences. See Sender’s Privacy Policy for information about Sender’s processing.

Retention

The contact form handler retains its pseudonymous anti-abuse identifier and timestamps for a rolling period of up to one hour; an idle state file may remain until the next request. We retain contact messages for up to 12 months after the last substantive exchange, then delete them through a documented manual review process, unless longer retention is necessary to establish, exercise or defend legal claims or comply with a legal obligation. Mailbox retention is reviewed manually each month; it is not an automated deletion process. Newsletter and product waitlist addresses are used for the updates you selected until you unsubscribe or request deletion; minimal suppression information may remain to respect an opt-out. Provider service logs and technical backups follow their separate retention practices.

Your rights

You may request access to, correction or erasure of your personal data, or restriction of processing, and portability where applicable. You may object to processing based on legitimate interests. Where you opted in to newsletter or waitlist updates, you may withdraw consent at any time using the unsubscribe link in a newsletter email or by contacting contact@polychromic.eu. You may also lodge a complaint with the French data-protection authority, the CNIL, at www.cnil.fr.

Transfers

OVHcloud provides our website and mailbox infrastructure, and Sender provides newsletter services. We do not make a France-only or EEA-only processing promise. You can contact contact@polychromic.eu for information about these providers and the safeguards applicable to your data. Provider information is available in Sender’s Privacy Policy, OVHcloud’s Data Processing Agreement and subprocessor list.
